Payments Statuses

Loop auto ages payment due date based on the carrier’s terms and the client-provided anchor date, which may be the invoice received date or the invoice approved date.

The statuses are displayed on the top banner on the Payments Table:

  • Unconfirmed- This tab shows payments with upcoming due dates

  • Confirmed - Payments that are confirmed and in flight to be paid

  • In Progress/Paid - Payment initiated or paid

  • Failed - Payment that failed

Users need to manually confirm payments to release funds


Payments Table

On the main table, you can sort by the columns: Payment Date, Payee, Payment Status, Invoices, Transaction ID, and Amount. Next to the payment status banner are the buzz icon filters. Click the filter to view payments that are:

  • blocked by payee onboarding

  • have past due invoices

  • qualify for QuickPay discount

The invoice column will indicate how many payable invoices are attached to the Payment

Use the search bar to locate specific payee or AP invoices. The column button provides the ability to add or edit the information displayed on the table. To access more granular information use the "More filters" button. The "Download" button lets you take data out of Loop and use it for internal review and reporting.


Blocked by Payee Onboarding

To resolve payments with blocked payment by payee onboarding click on the payment with the red triangle buzz icon, and a right-hand panel will appear with a red warning banner. Next, click on the Payee's name hyperlink to navigate to the Organizations Tab.

From the Organizations Tab --> Payment Settings --> Add bank account or Send bank account invite.

Confirming Payments

To confirm a payment date, navigate to the "unconfirmed payments" tab and click on a payment. A right-hand panel will appear with the payment details. Under "Payment date," select "Confirm" or "Edit."

The panel also displays the payee's bank information, remittance email, and all attached invoices. You can click on the invoice to navigate to the payable invoice information.

The edit button will prompt you to select "schedule" which allows you to select a custom date with the calendar or "schedule right now" to release the payment with the next release. Click "Confirm" to save.

You can also bulk confirm by clicking on the left-hand row square button. Users can select specific payments or the whole row.


Failed Payments

To resolve a failed payment navigate to the top banner "Failed" tab. Click on the payment's hyperlink to show the details.

  • A red banner will appear with the error code with a link to the Loop’s Help Center -Payment Failure Codes page to help determine the best course of action

  • From this banner, you can also "retry payment” and "re-send" the remittance email
