Policies, Exceptions and Disputes

Last updated: October 23, 2026

How Loop checks invoices, records follow-up work, and sends carrier billing errors for review. Read this alongside your configured policies.

Three terms to know

Term

What it is

Example

Policy

A rule you set for how invoices are reviewed. It can track a condition or block auto-approval when the condition is not met.

Block auto-approval when the total is more than $20 above expected.

Exception

An operational issue that needs work. Loop records the issue so your team, Loop, or the carrier can investigate it.

A variance above the policy threshold, or missing accounting information.

Dispute

A carrier billing error that blocks approval. Loop sends it to the carrier for review and records the response.

A duplicate charge, or a rate above your agreed terms.

How they work together

Example: a $20 variance policy

  1. Invoice arrives — The invoice is $35 above expected.

  2. Policy flags it — Auto-approval is blocked.

  3. Follow-up begins

    • Exception opened: Operational work is recorded.

    • Dispute sent: The carrier is asked to review the billing error.

  4. Outcome reviewed — Your team reviews the response and resolves the issue.

When both are triggered, the exception and dispute run in parallel.

Good to know

Some policies are checks, not blockers

Some policies confirm invoice details match your expectations, such as the carrier on the invoice matching the shipment. These usually pass; only an uncommon mismatch creates follow-up work.

Policies can hold approval

A policy can stop auto-approval when a rule is not met. Exceptions record work by default; they only hold payment when the invoice is placed on hold.

Required coding is checked before payment

If required accounting information is missing, the invoice will not be included in a payment run until it is resolved.

Parcel rate issues appear as claims

Parcel currently labels billing and rate issues as claims. They are handled post-payment.
