GL coding

  • Why is the GL coding Excel file no longer sent?

    • GL codes are now entered directly in Loop, in the [Your company] GL Coding / Next Week Review view. Codes are saved as soon as they are entered, so no file needs to be returned.

  • Can GL codes still be assigned using a file?

    • Yes. For large volumes, the charge line items missing GL codes can be downloaded, completed, and uploaded in bulk where this feature is enabled for your account. Contact your Loop Customer Success Manager to enable it.

  • Can each charge on an invoice be coded separately?

    • Yes. Cost allocation is completed by charge line item. Each charge, such as linehaul, fuel, or an accessorial, can be assigned its own GL code or cost center, and a single charge can be split across multiple codes.

  • What if the GL code or cost center needed is not available?

    • Contact your Loop Customer Success Manager. New GL codes and cost centers may need to be configured before they can be assigned.

  • What if a charge cannot be coded yet?

    • Leave it in the view. It will remain there for the following week's review.

Exceptions and approvals

  • What is in the Invoices Requiring Action view?

    • The [Your company] Invoices Requiring Action view lists payables with exceptions that require an approval decision, such as a variance over threshold or an unexpected accessorial.

  • What happens if an invoice in this view is not reviewed?

    • Invoices with open exceptions cannot be approved or paid. Items that need follow-up are carried into the following week's review.

  • When should an invoice be placed on hold?

    • Place an invoice on hold when a decision depends on specific information, such as documentation from the carrier or confirmation from your team. Add a note describing what is needed. An invoice on hold cannot be approved or paid until the hold is removed.

  • What happens after an invoice is approved?

    • Loop schedules the payment based on your payment terms. Depending on your account setup, the payment may need to be confirmed under Payables → Payments → Unconfirmed before it is released.

  • Can a decision be changed?

    • Yes. Select the three-dot menu on the invoice and choose Reopen invoice to return it to review. If a payment has already been initiated, contact Loop immediately, as stopping it is not guaranteed.

Using the views

  • Why does an invoice appear in both views?

    • An invoice can have both a charge without a GL code and an open exception. Complete the GL coding in one view and the approval decision in the other.

  • Can other users see changes?

    • Yes. Views are shared across your organization, so GL codes and decisions entered by one user are visible to all users. Pinned views are personal and appear only on your own homepage.

  • Can a view be exported?

    • Yes. Select Download on the table to export the records in the view.

  • Who should be contacted with questions?

    • Your Loop Customer Success Manager.
